UMOJA WILL BE UNAVAILABLE SATURDAY 6 AUGUST 2016 

Please note that most Umoja applications (ECC, SRM/Portal and Employee and Manager Self-Service) 
will be unavailable from 8:00 am to 11:00 am CET (2:00 am to 5:00 am NY time) on Saturday 6 August 

to conduct monthly planned aintenance activities. The Umoja BI system will be available during this 
3 hour period.

BI REFRESH SCHEDULE FOR GENERAL LEDGER (GL) DATA 

Starting this weekend, the refresh schedule for GL data in the Umoja BI system will change in order to 
support the production of financial statements. In addition to the normal nightly reload of all BI data, GL
data will also be refreshed from ECC at 6:00 pm CET (12:00 pm NY time) each day. This means that reports
based on the GL cubes and queries will be updated with new data more frequently than usual. This schedule
will be in effect until the completion of the financial statements at the end of September.

Reports affected include those using queries with the following patterns: ZZFI_M01* and ZZFI_M02*

This action impacts the BI versions of the Trial Balance and General Ledger Line Item reports, and any reports
that power users have created using GL data. BI users should not expect any downtime or performance impact
during the refresh.

TIME MANAGEMENT CHANGES
The Umoja Team and OHRM have been working diligently to make improvements to the Time Management 
module, in particular enhancements to Leave requests. Please see a brief overview of the changes below.

1. As of 1 August 2016, Uncertified Sick Leave may be requested under two categories: 1) when the staff 
member is not able to perform their duties due to illness or injury, and 2) due to family related emergencies. 
Time managers are no longer needed to approve these types of Uncertified leave requests. Additionally, 
Official business is now divided into two types: 1) Official Business – Travel (if the Official Business involves 
travel), and 2) Official Business – No Travel (for local off-site training for instance). All official Business
leave types will now be routed to the Time Manager for approval.

2. In an effort to allow offices plan further in advance, Umoja has been configured to allow staff members 
request Annual Leave up to one year in advance
. Previously staff could only request leave 7 months ahead.

REMINDER TO SRM USERS ON THE NEW USER ACCESS PROVISIONING (UAP) PROCESS

SRM users are kindly requested to confirm and approve all UAP requests via the User Provisioning tab 
on the Umoja Portal page
.  Following the release of the new UAP application, a defect in the visibility of the
Universal Worklist was detected. The Universal Worklist does not allow for a review of the UAP details 
(i.e., what Enterprise Roles are being requested, associated workflow elements, etc.) This review is a critical
part of the process and can be accessed via the User Provisioning tab
. This applies to End Users, Section
Chiefs and Functional Approvers.

A technical solution is being pursued to remove the UAP requests from the Universal Worklist.
