Umoja C5 Go-Live preparations

Dear colleagues,

On 1 November 2016, Umoja will reach another milestone with the deployment of Cluster 5, comprised of National Staff and Individual Uniformed Personnel in DFS supported Missions. The deployment will expand the Umoja Extension 1 functionality of Human resources, Payroll and Insurance. National Staff will use Employee and Manager Self-Service to request and approve leave, update personal information, manage dependency allowances, benefits, and work and life events.  

Within the next few weeks, colleagues from Field Missions, DFS, DM-ORHM, DM-OPPBA and the Umoja Team will be actively engaged in preparatory activities for go-live, including "cut-over", which is the period of transition from existing systems to Umoja.

During cut-over, all Umoja systems will be operational as usual and no system interruptions are expected. 

The only exception applies to the synchronization of the Human Resource master and mini master new and updated records to the Business Partner (BP) records. This synchronization will be unavailable from Monday 24 October at 06:00 am CET (12:00 am EST) to Wednesday 26 October at 5:59 am CET (Tuesday 25 October at 11:59 pm EST).

BP sync unavailability
The Human Resource master and mini master records are synchronized with Accounts Payable, in order to process payments to vendors. During the cut-over period, the BP Sync will be unavailable for two days. 

During this period, HR master and mini-master data records can be created; however, BP synchronization will not be available. The BP synch will be re-activated on Wednesday, 26 October 2016. At this time, Umoja will run a full BP sync when all updates made during the down time will be reflected in the BP records.

If an emergency arises requiring an update while the ECC BP sync is unavailable, email umoja@un.org with “BP Sync support” in the subject line. Include the Index Number of the individual for whom you have the emergency requirement.

C5 legacy systems’ blackout 
During C5 cut-over, legacy systems in the Field Missions will experience periods of blackout, which will not affect other entities. Separate guidance has been disseminated to all Missions. 

Following cut-over, C5 entities will enter the "ramp-up" period, when staff can start transacting using the newly deployed Umoja functionality. During ramp-up, Missions will transact in controlled and incremental phases to ensure the correct use of new processes.
